1. About Teamzum

Teamzum is a cloud-based platform designed to help sports clubs manage registrations, memberships, payments, communications, events, websites, online shops and other club activities. The platform is operated by EFG Group Ltd ("we", "us", "our"), a company registered in England and Wales with its registered office at Ground Floor, 5 North Court, Armstrong Road, Maidstone, Kent, ME15 6JZ.

By creating an account or using Teamzum, you agree to these Terms and Conditions.

2. Eligibility

You must be at least 18 years old to create and administer a club account. Parents or legal guardians may create accounts on behalf of children.

3. Club Accounts

Club administrators are responsible for:

  • Maintaining accurate club information.
  • Ensuring all information entered is lawful and accurate.
  • Managing access for coaches and volunteers.
  • Obtaining any required parental or member consent.
  • Ensuring compliance with safeguarding and data protection laws, including holding any required DBS checks for staff.
  • Acting as the data controller for Club members; Teamzum acts as data processor (see the Privacy Policy).

4. User Accounts

Users are responsible for:

  • Keeping login details secure.
  • Providing accurate information.
  • Updating contact details where necessary.
  • Not sharing their account with others.

5. Payments

Teamzum may process payments using trusted third-party payment providers including GoCardless and Stripe. Transaction fees may apply in accordance with your chosen Teamzum plan. Payment providers may have their own terms and conditions, which apply in addition to these Terms.

Refunds to members are at the discretion of the Club. Teamzum may deduct chargebacks, refunds and processing fees from future payouts.

6. Charges & Fees

The core Teamzum platform is provided free of charge. Where a Club uses the payment collection features, the following transaction fees apply and are deducted from the gross amount before payout:

  • Subscriptions by Direct Debit in GoCardless-supported regions — 2.5% + 20p per successful payment collected.
  • Card payments (subscriptions, registrations and one-off payments) processed by Stripe — 3.5% + 20p per successful payment collected.
  • Club shop and ticket orders — 3.5% + 20p per successful order.
  • Failed payments and chargebacks — any fees passed on by the payment provider (e.g. GoCardless or Stripe) are recovered from the Club's future payouts.
  • Refunds — Teamzum's transaction fee on the original payment is non-refundable, and refunded amounts are recovered from future payouts.

All fees are exclusive of VAT where applicable. We may change our fees on 30 days' notice by email or in-app notification. Continued use of the payment features after the change takes effect constitutes acceptance of the new fees.

7. Settlement & Payouts

Money collected from parents, members and customers is held by our regulated payment provider on the Club's behalf and paid out to the Club's nominated bank account on the following basis:

  • Payout cycle — weekly, covering payments settled between Monday and Sunday.
  • Payout day — every Wednesday for the previous week's takings.
  • Amount paid — gross takings for the period, less Teamzum transaction fees, refunds, chargebacks and any provider fees incurred in that period.
  • Bank account — payouts are made only to the verified UK bank account (or, where supported, the local bank account) linked to the Club by an authorised administrator.
  • Holds and reserves — we (or our payment provider) may delay or withhold a payout where we reasonably suspect fraud, a high risk of chargebacks, a breach of these Terms, or where we are required to do so by law or by the payment provider's rules.

Standard bank processing times mean funds typically arrive in the Club's account within 1–2 working days of the payout date. Public holidays and weekends may extend this. Teamzum is not responsible for delays caused by banks or third-party payment providers.

If a payout cannot be made because the Club's bank details are missing, incorrect or fail verification, the funds will be held until valid details are provided. Clubs must keep bank details up to date in the Teamzum settings area.

8. Club Shop & Ticketing

Where clubs sell products or tickets through Teamzum:

  • The club is responsible for all products and services offered.
  • Teamzum acts only as the technology platform.
  • Refunds remain the responsibility of the selling club unless otherwise stated.

9. Club Websites

Teamzum may provide website hosting and website-building tools. Clubs remain responsible for all content published on their website, including ensuring it is lawful and does not infringe third-party rights.

10. Acceptable Use

You agree not to:

  • Upload unlawful material.
  • Upload offensive or abusive content.
  • Infringe copyright.
  • Attempt to hack or interfere with the platform.
  • Upload viruses or malicious software.
  • Send unsolicited bulk communications outside of legitimate club business.

Teamzum may suspend accounts that breach these Terms.

11. Children's Information

Where children's information is stored, clubs are responsible for obtaining appropriate parental or guardian consent. Parents may request access to or correction of their child's information.

12. Intellectual Property

All Teamzum branding, software, graphics and content remain the property of Teamzum unless otherwise stated. Users retain ownership of content they upload, and grant us a worldwide, royalty-free licence to host, store and process that content solely to operate and improve the Service.

13. Availability

We aim to keep Teamzum available at all times but cannot guarantee uninterrupted service. Maintenance and technical issues may occasionally result in downtime.

14. Limitation of Liability

To the fullest extent permitted by law, Teamzum shall not be liable for any indirect or consequential loss arising from use of the platform. Our total liability shall not exceed the fees paid by the customer during the previous 12 months. Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited by law.

15. Account Suspension

We may suspend or terminate accounts that:

  • Breach these Terms.
  • Abuse the platform.
  • Attempt fraudulent activity.
  • Present a security risk.

16. Data Protection

We process personal data in accordance with our Privacy Policy and applicable UK data protection law, including the UK GDPR and Data Protection Act 2018.

17. Changes

We may update these Terms from time to time. Continued use of Teamzum constitutes acceptance of the updated Terms.

18. Governing Law

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising under them.
