These terms govern your use of Teamzum, a grassroots sports club management platform (the "Service") operated by EFG Group Ltd ("we", "us", "our"), a company registered in England and Wales with its registered office at Ground Floor, 5 North Court, Armstrong Road, Maidstone, Kent, ME15 6JZ. By creating an account or using the Service you agree to these terms.
1. Definitions
"Club" means an organisation that registers to use Teamzum to manage its teams, members, fixtures, training, communications and payments. "User" means any individual who accesses the Service, including club administrators, coaches, managers, parents and guardians. "Content" means any data, text, files, images or other material uploaded to the Service.
2. Accounts
You must provide accurate, current information when registering and keep your login credentials confidential. You are responsible for activity that takes place under your account. You must be at least 18 years old to create a Club or parent account. Children do not register directly — a parent or guardian must do so on their behalf.
3. Club responsibilities
- Ensure you have authority to set up the Club and to invite staff and parents.
- Provide accurate team, player, fixture and fee information.
- Comply with safeguarding obligations, including holding any required DBS checks for staff.
- Obtain appropriate consents from parents/guardians for the data you upload.
- Act as the data controller for Club members; Teamzum acts as data processor (see Privacy Policy).
4. Acceptable use
You agree not to:
- Use the Service for any unlawful, fraudulent, harassing or harmful purpose.
- Upload viruses, malware or attempt to disrupt or reverse-engineer the Service.
- Attempt to gain unauthorised access to other accounts or to our systems.
- Send unsolicited bulk communications outside of legitimate club business.
- Use the Service to store special-category data beyond what the Service is intended to handle (e.g. routine safeguarding/medical notes).
5. Payments and fees
The core Teamzum platform is provided free of charge. Where a Club uses the payment collection features, payments are processed by our third-party payment provider, GoCardless. Teamzum charges a transaction fee of 2.5% plus 20p per successful payment collected through the Service. Shop orders are charged at 4.5% plus 20p per order. Fees are deducted from the gross amount before payout. We may change our fees on 30 days' notice.
Refunds to parents are at the discretion of the Club. Teamzum may deduct chargebacks, refunds and processing fees from future payouts.
6. Third-party services
The Service integrates with third parties including GoCardless, Stripe, Resend and cloud infrastructure providers. Your use of those services is also subject to their own terms. We are not responsible for outages or errors caused by third parties beyond our reasonable control.
7. Intellectual property
We retain all rights, title and interest in the Service, including its software, branding and documentation. You retain ownership of Content you upload, and grant us a worldwide, royalty-free licence to host, store and process that Content solely to operate and improve the Service.
8. Data protection
We process personal data in accordance with our Privacy Policy and applicable UK data protection law, including the UK GDPR and Data Protection Act 2018. Where we act as a processor on behalf of a Club, the standard processing terms in our Privacy Policy form part of these terms.
9. Availability
We aim to keep the Service available 24/7 but do not guarantee uninterrupted access. We may suspend the Service for maintenance, upgrades or for security reasons.
10. Limitation of liability
To the maximum extent permitted by law, we exclude all implied warranties. We are not liable for indirect or consequential loss, loss of profit, loss of goodwill or loss of data. Our total liability to you in any 12-month period is limited to the fees you have paid us in that period, or £100 if no fees have been paid. Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited by law.
11. Termination
You may stop using the Service at any time and request deletion of your account. We may suspend or terminate accounts that breach these terms or applicable law. On termination, we will delete or return Content in accordance with our Privacy Policy and retention schedules.
12. Changes to these terms
We may update these terms from time to time. Material changes will be communicated via email or in-app notification. Continued use of the Service after changes take effect constitutes acceptance.
13. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising under them.
